Meeting rooms

Ghost meetings: booked meeting rooms that stay empty.

The calendar says there isn’t a single free room. You walk down the corridor and half of them are empty. Here’s how to fix it.

What it is

A booking with nobody inside.

A ghost meeting is a room booked in the calendar that nobody walks into, or that the group leaves well before the end. The room looks taken and nobody else can use it.

  • Recurring meetings

Created once, they stay in the calendar for months, even when nobody goes any more.

  • Plans that change

The meeting moves to a call or is cancelled by word of mouth, but the booking stays.

  • “Just in case” bookings

Someone blocks the big room all morning so as not to miss out on it.

  • Groups that finish early

They finish after twenty minutes and the room stays booked in the calendar until the end of the slot.

Why the calendar can’t see it

The calendar knows who booked. Not who came.

A Thursday in the Montserrat room, seen from the calendar and from the room’s sensor.

How to fix it

Let the room free itself.

Asking people to cancel doesn’t work. What works is a room that knows whether anyone’s there. This is how Orpheus Meet does it:

  1. 01

The sensor sees whether anyone’s there

A sensor inside the room knows whether the group has arrived. No cameras or images: it just counts people.

  2. 02

    The meeting checks itself in

When people walk in, the booking is confirmed. Nobody has to press a button.

  3. 03

    If nobody comes, it’s released

After 10 minutes with nobody there, the room is free again in the calendar. No notifications or emails to the guests.

  4. 04

    If they leave early, too

When the group finishes early, the room is freed for the next one.
